Website Care Plan Terms

These terms apply to Website Care Plans provided by SEEDO Media Ltd (“SEEDO”, “we”, “us” or “our”).

Our Care Plans combine website hosting with ongoing maintenance, support and reporting. They are intended for clients who would like SEEDO to take a more active role in looking after their website.

These terms should be read alongside our Website Hosting Terms, which also apply to websites hosted as part of a Care Plan.

1. Care Plan Options

The Plus Care Plan includes:

The Pro Care Plan includes everything provided under the Plus Care Plan, plus:

Third-party services such as Google Analytics and Search Console are subject to their own availability and terms.

2. Agreement Period and Payment

Care Plans are provided for a 12-month term.

The annual fee may be paid either:

  • annually in advance; or
  • by 12 monthly payments.

Payment by monthly instalments does not create a monthly rolling agreement. The Care Plan remains a 12-month commitment unless otherwise agreed.

A discounted price may be offered where the full annual fee is paid in advance. The applicable price will be confirmed when the Care Plan is agreed or renewed.

We will normally contact the client before the end of the current term regarding renewal and any changes to pricing or the selected Care Plan.

3. Included Website Changes

Included support time is intended for relatively small changes to the existing website.

Examples may include:

  • changing text;
  • replacing or adding supplied images;
  • updating opening hours or contact information;
  • replacing menus, price lists or downloadable documents;
  • adding or amending straightforward existing content;
  • minor layout or formatting adjustments; and
  • investigating minor website issues.

Included time does not normally cover:

  • significant new pages or sections;
  • website redesigns;
  • new functionality;
  • custom development or coding;
  • e-commerce development;
  • substantial data entry or content creation;
  • major technical problems caused by third parties or client changes; or
  • work on services outside the agreed website.

If requested work falls outside the Care Plan, we will normally discuss this with the client before carrying out chargeable work.

4. Included Support Time

Included support time is available during each monthly service period.

Unused time does not normally roll over into future months.

We may occasionally agree otherwise where appropriate, but doing so on one occasion does not create an ongoing entitlement to carry unused time forward.

Where a request is likely to exceed the available Care Plan time, we will normally advise the client and agree any additional charge before proceeding.

The included time is intended for ongoing minor maintenance and support and cannot be exchanged for cash, refunded or accumulated towards a larger development project.

5. Reporting

Both Care Plans include a monthly website report.

The Plus Care Plan provides a straightforward overview of website traffic and activity using the analytics services configured for the website.

The Pro Care Plan provides a more detailed report which may combine information from Koko Analytics, Google Analytics, Google Search Console and other relevant services available for the website.

Reports are intended to provide a useful overview rather than a formal SEO, marketing or business-performance analysis.

Search rankings, website traffic, enquiries and other results cannot be guaranteed.

6. Hosting and Technical Maintenance

Website hosting is included for the duration of an active Care Plan.

Hosting, backups, security, availability, WordPress maintenance and related technical matters are also subject to our separate Website Hosting Terms.

A separate annual hosting fee will not normally be charged while the website is covered by an active Care Plan.

Domain names, email services, software licences and other third-party services are not included unless specifically stated.

7. Additional Services and Add-ons

Additional services may be added to a Care Plan where agreed.

These may include Google Business Profile/Google Maps services, social media monitoring, social media management or other digital services.

The scope and price of each add-on will be agreed separately.

Google Business Profile / Maps

Where agreed, we can monitor or manage a client’s Google Business Profile.

Depending on the selected service, this may include:

  • checking that key business information remains accurate;
  • monitoring changes to the listing;
  • reviewing available performance information;
  • identifying reviews or other matters requiring attention;
  • updating opening hours and business information; and
  • making agreed updates to photographs, posts or other listing content.

Monitoring does not automatically include ongoing content creation, review responses or frequent listing updates unless these are specifically included in the agreed service.

Google Business Profile and Google Maps are third-party services operated by Google. SEEDO cannot guarantee their availability, ranking, visibility or acceptance of changes.

Social Media Monitoring

Where agreed, we can monitor specified social media accounts associated with the client’s business.

The agreed service may include basic account checks, activity monitoring and periodic reporting.

Social media monitoring does not include creating posts, responding to comments or messages, producing graphics, running advertising campaigns or actively managing the account unless specifically agreed.

Social Media Management

Ongoing social media management may be provided as a separate add-on or bespoke service.

The scope may include agreed activities such as preparing or publishing posts, updating account information or assisting with account administration.

The number of accounts, frequency of activity, content requirements and responsibilities will be agreed separately before the service begins.

Advertising spend and other third-party charges are not included unless specifically stated.

8. Third-Party Accounts

Some Care Plan and add-on services depend on access to third-party platforms such as Google, Meta or other service providers.

The client remains the owner of their business accounts and is responsible for complying with the relevant platform’s terms.

Where practical, SEEDO should be given appropriate administrator or management access rather than ownership of the client’s account.

We cannot be responsible for outages, account restrictions, platform changes or decisions made by third-party service providers outside our reasonable control.

9. Upgrading a Care Plan

A client may request an upgrade from Plus to Pro during the current Care Plan term.

Where an upgrade takes effect immediately, the additional charge will normally be calculated for the remaining part of the current term.

Alternatively, an upgrade may be arranged from the next appropriate billing date.

Any new included support allowance will apply from the date the upgrade takes effect.

10. Downgrading a Care Plan

A client may request to downgrade from Pro to Plus.

Unless otherwise agreed, a downgrade will normally take effect at the end of the current 12-month Care Plan term.

This avoids changes to the agreed annual service and payment schedule part-way through the term.

11. Moving Between Standard Hosting and a Care Plan

A client using our standard annual website hosting may upgrade to a Care Plan.

Where annual hosting has already been paid for the same period, we will normally take the unused portion of that hosting period into account when calculating the Care Plan charge.

The exact credit or adjustment will be confirmed when the upgrade is arranged.

At the end of a Care Plan term, a client may choose not to renew the Care Plan and instead move to our standard annual website hosting, subject to the hosting service and price available at that time.

12. Additional Work

Work outside the agreed Care Plan or add-ons will be charged separately.

Where practical, we will tell the client before undertaking additional chargeable work.

Larger pieces of work may be quoted separately and treated as an individual project rather than Care Plan support.

13. Cancellation and Renewal

A Care Plan is provided for the agreed 12-month term.

If the client chooses not to renew, they should let us know before the next Care Plan term begins.

Cancellation during the 12-month term does not normally cancel payments still due for that term.

We recognise that circumstances can change and encourage clients to contact us if they need to change or end a service. Where appropriate, we may agree an alternative arrangement at our discretion.

At the end of the Care Plan, the client may:

  • renew their existing Care Plan;
  • upgrade or downgrade;
  • move to standard website hosting;
  • move their website to another provider; or
  • discontinue the website.

Website transfers and cancellation of hosting are also subject to our Website Hosting Terms.

14. Changes to Care Plans

We may change the features or pricing of our Care Plans from time to time.

Material changes will normally take effect when a Care Plan is renewed rather than during an existing 12-month term, unless the change is agreed with the client or is reasonably necessary because of changes to a third-party service.

15. Questions

Care Plans are intended to provide practical ongoing support rather than create rigid boundaries around every small task.

If it is unclear whether something is included, we encourage clients to ask. We will explain whether the work falls within the Care Plan before undertaking significant additional chargeable work.
